MISSIONSThe incumbent will be responsible for the administrative management of the Office, assisting the Director and her deputy, participating in the activities of the Office and in communication activities.
His/her tasks are the following:
Organise and ensure the smooth operational running of the Representation
- Ensures the daily relationship and follow-up with the external service providers of office;
- Monitoring of the budget and purchases in liaison with the head office accounting departments ;
- Reception of visitors and telephone reception, mail processing;
- Organises the filing and archiving of the various administrative documents and once a year organises their destruction.
Assists the team in its activities
- Organisation of staff travel and management of expenses;
- Follow-up of the agenda of the Director
- Helping with the preparation of files and possibly meetings;
- Assisting with correspondence, producing mailings.
Participates in the implementation of communication actions
- Produces bi-monthly press reviews on European themes related to postal issues ;
- Participates in the production and distribution of the Representation's newsletter ;
- Ensures the presence of the Office on social media;
- Participates in the organisation of public relations events.
