About the role
You will provide administrative and logistical support to our association management teams to deliver high-quality services and value to our clients. In coordinating and communicating with our volunteer groups and committees, you will also support our associations’ mission and activities.
Duties and Responsibilities
• Schedule meetings, prepare agendas, reports, and presentations for board, committee and working party meetings. Coordinate with all attendees.
• Facilitate meetings, capturing action items and decisions. Manage post-meeting activities such as distributing minutes, tracking all action items and following up on outstanding items.
• Provide administrative support, including scheduling, travel arrangements, and expense management.
• Support with managing administration for corporate partnership deals and sponsorship agreements.
• Track and manage the administration of grants and awards for a health care association.
• Maintain governance documents, policies, and other relevant materials in a centralised repository.
• Assist with the planning and execution of association events, programs, and projects.
• Liaise with volunteer groups and committees and provide them with guidance, resources, and feedback.
• Handle inquiries from members, partners, and the public and direct them to the appropriate person or department.
• Organise and maintain files, records, and databases.
Profil
Your profile
Eligible to work in the EU.
At least three years’ experience in an administrative or support role, preferably in a non-profit or association setting.
Fluent in English (verbal and written level C1), Knowledge of another language is an asset.
Proficient in the Microsoft Office package, Google Suite, and other web-based tools.
Ability to work independently and collaboratively with a diverse team.
Strong organizational, time management, and problem-solving skills, with the ability to prioritise and multitask.
You are flexible, agile and committed especially in busy periods.
Knowledge of and interest in the association's field and mission.
Willingness to travel abroad for certain meetings and events.
Available to join the team rapidly.
