Management Assistant

- Provide comprehensive secretarial and administrative support, taking ownership to ensure work is executed efficiently and appropriately, and providing backup
- Manage file management processes, including organizing and opening matters, closing files, archiving, and ensuring all relevant documents are filed electronically and on paper, as required
- Manage the billing process using the internal financial system
- Process maintenance requests for matters such as address changes and discount requests
- Follow up on outstanding accounts
- Manage the booking of meeting rooms, conference rooms, and video facilities; liaise with attendees as needed to ensure a first-class hospitality experience
- Organize and manage travel arrangements; prepare key documents including visas, correspondence (invitation letters), invoices, and expense claims
- Amend and reformat documents as necessary to ensure accuracy and a high standard of delivery
- Prepare presentations and meeting papers, including print production
- Manage contacts to ensure they are kept up-to-date
Profil
- You have at least 5 years' experience as a Personal or Management Assistant
- Previous experience in a professional service organization is a plus
- Bilingual in Dutch and French, with good English skills
- Proficient in Microsoft Office
- Demonstrated flexibility and ability to manage a high workload while meeting tight deadlines
- Analytical and detail-oriented
- Ability to meet business demands and collaborate effectively with demanding stakeholders
- Demonstrated capability to manage and understand the end-to-end billing process of legal firms
- Team player with a positive 'can-do' attitude; possessing common sense and flexibility
- Strong interpersonal understanding and problem-solving abilities
