For an ambassy located in Brussels, we are looking for an executive assistant.

Executive assistant

Job description

As Assistant Executive, you will have to perform the following tasks: 

  • Manage the daily administrative tasks of the Office of the Head of Mission and act as the person of contact for any related inquieries;
  • Maintain a database of business and other contacts for the Chef of Mission;
  • Handle the schedule of the Ambassador as well as all related responsabilities (travel arrangements, preparing documents for diplomatic meetings, etc.); 
  • Coordinate the affairs of the Office in conjunction with the Deputy Chief of Mission and Finance Attaché in addition to preparing; 
  • Draft activity reports, confidential correspondence and other documents as requested by the Chef de Mission.
  • Coordinate activities related to matters requiring special attention for the Head of Mission's office and official residence with the Financial Attaché and Head of Chancery.
  • Assist in the coordination of internal and off-site meetings and general meetings of Embassy/Mission staff, as well as assisting diplomatic staff with official travel.
  • Assist in the preparation of official Embassy/Mission events.

Profile

As Assistant Executive, you possess the following qualifications:

  • You have a Bachelor's degree or equivalent certification, preferred in Business Administration or Office management; 
  • You have experience as Administrative Assistant= previous experience as in an international organisation is a plus;
  • You are fluent in English and have working knowledge in French
  • You possess excellent interpersonal, organizational and communication skills;
  • You can adapt in a multi-cultural environment and are able to create and maintain relationships/networks with strategic partners as to achieve the Embassy's objectives;
  • You communicate in a very clear, concise and respectful way;
  • You can adapt to changing timetable and schedule;
  • You are familiar with Microsoft Office

Offer


  • A temporary contract renewed every month, with the possibility of a fixed-term contract for 3 years;
  • Full time (9-5);
  • Salary based on salary scale; 
  • In case of permanent contract:
