We are looking for a dynamic Assistant to work in the heart of Brussels!
Your responsibilities are the following;
- Welcome and direct visitors, manage logistics before, during and after visits (organising schedules, welcoming visitors, preparing and cleaning meeting rooms, organising catering, setting up equipment, etc.);
- Manage incoming/outgoing standard and express mail and parcels (reception, encoding, distribution, dispatch);
- Clean and organise office environment;
- Prepare agendas and schedules for meetings;
- Book taxis, restaurants and co-working spaces;
- Help organise and prepare small internal events;
- Logistical and practical organisation and coordination of domestic and international travels;
- Administrative welcome for new employees;
- Other related duties as assigned;
- Back-up in case of absence of other assistants;
- Team support when needed to accomplish results.
Profiel
Which profile are we looking for?
- High school diploma or equivalent experience (at least 1 year);
- Perfect knowledge of Dutch and English; knowledge of French is an asset
- Excellent knowledge of the Office suite (Word, Excel, PowerPoint) and collaborative tools (Outlook, network, etc.);
- Dynamic, flexible, ability to work independently as well as in a team;
- Helpful, team player, solution oriented;
- Ability to multitask, meet changing deadlines;
- Excellent organisational skills and attention to details.
