As Payroll & Compensation Specialist (m/f/x), you will be instrumental in ensuring accurate payroll processing, handling compensation and benefits, and staying compliant with statutory regulations.
In this role, you will work closely with your colleagues in the HR team and collaborate with our external payroll provider (ProPay) for the following responsibilities:

Payroll Management
- Handle general payroll administration tasks (vacation certificates, health insurance certificates, return-to-work formalities).
- Use ProTime to manage absences, create new cycles, and generate payroll exports.
- Process and control monthly payrolls for Belgium, Japan, and Turkey.
- Act as window person for employee questions regarding payroll: oversee email inbox inquiries, handle info-sessions, provide new hires with an overview of working time policies, Pronet, and relevant onboarding information.
Compensation & Benefits Management
- Administer group insurance and hospital insurance, including monthly invoicing follow-up and salary adjustments.
- Manage meal vouchers, eco vouchers, and gift vouchers.
- Ensure compliance with policies related to compensation and benefits, including updates on group insurance and hospitalization.
- Coordinate bonus, merit, and promotion calculations, approvals, and communications.
- Oversee the "Exemption from withholding tax" process.
Statutory Compliance & Labor Legislation
- Stay updated on Belgian labor legislation, inform relevant stakeholders, and ensure implementation of necessary changes.
- Ensure correct implementation of collective labor agreements, employment deals, and salary indexations.
- Revise work regulations and HR policies as needed.
Employee administration:
- Request leave schemes (f.e., parental leave)
- Draft addenda to employment contracts
- Review timesheets, manage the working calendar
- Track personal data in SuccessFactors
- Handle offboarding documents

The required profile for the Payroll & Compensation Specialist (m/f/x) position:
- Fluency in Dutch and English
- Minimum of 5 years of experience in a similar role
- Experience with Protime and/or SuccessFactors would be an asset
- Exceptional organizational and multitasking abilities, with meticulous attention to detail
- Strong communication and interpersonal skills with the ability to work effectively across teams and cultures
- Proficiency in Microsoft Office Suite
