Management Assistant

- Schedule meetings, prepare agendas, reports, and presentations for board, committee and working party meetings. Coordinate with all attendees.
- Facilitate meetings, capturing action items and decisions. Manage post-meeting activities such as distributing minutes, tracking all action items and following up on outstanding items.
- Provide administrative support, including scheduling, travel arrangements, and expense management.
- Support with managing administration for corporate partnership deals and sponsorship agreements.
- Track and manage the administration of grants and awards for a health care association.
- Maintain governance documents, policies, and other relevant materials in a centralised repository.
- Assist with the planning and execution of association events, programs, and projects.
- Liaise with volunteer groups and committees and provide them with guidance, resources, and feedback.
- Handle inquiries from members, partners, and the public and direct them to the appropriate person or department.
- Organise and maintain files, records, and databases.
Profil
- Eligible to work in the EU.
- At least three years’ experience in an administrative or support role, preferably in a non-profit or association setting.
- Fluent in English (verbal and written level C1), Knowledge of another language is an asset.
- Proficient in the Microsoft Office package, Google Suite, and other web-based tools.
- Ability to work independently and collaboratively with a diverse team.
- Strong organizational, time management, and problem-solving skills, with the ability to prioritise and multitask.
- You are flexible, agile and committed especially in busy periods.
- Knowledge of and interest in the association's field and mission.
- Willingness to travel abroad for certain meetings and events.
- Available to join the team rapidly.
