Then we are looking for you as our new Executive Assistant!As an Executive Assistant, you will play a crucial role in supporting our Partner(s)/Principal(s). Your responsibilities include:
Agenda:
- Managing and monitoring the agenda and scheduling appointments.
- Ensuring that the schedule of Partner(s)/Principal(s) is followed and respected (acting as a gatekeeper), creating a win-win situation between clients – Partner(s)/Principal(s) – colleagues.
- Understanding and prioritizing conflicting interests.
- Accurately estimating overrun, travel time, and allocating time for work.
Admin:
- Planning internal and external meetings, phone calls, and video conferences.
- Planning and organizing business trips (flights, trains, hotels, etc.).
- Keeping the contacts of Partner(s)/Principal(s) up to date.
- Submitting timesheets and expense reports.
- Printing and binding documents.
Office Management:
- Welcoming visitors and managing meeting rooms.
- Creating badges.
- Processing and dispatching internal and external mail.
- Ordering office supplies and catering.
- Ensuring compliance with safety measures.
- Acting as the point of contact for the Brussels office (both internally and externally, concerning safety, marketing, and press).
- Logistics coordination for organizing events.

Profil
Do you meet the following criteria
- You hold a minimum of a Bachelor's degree and can demonstrate 10 years of relevant experience.
- You have excellent proficiency in (business) Dutch, English, and French (spoken and written).
- As a person, you are flexible, proactive, and capable of working independently. You take initiative where possible and provide timely feedback.
- You excel in organizing and scheduling appointments, not only with existing contacts but also in establishing relationships with new clients.
- You shine with your organizational talent and communication skills, enjoy job freedom and variety, and can handle ambiguity well.
- You are capable of delivering high-quality work because you work in a structured, accurate manner and can perform under pressure in a dynamic, international environment.
- You have an entrepreneurial mindset and strive for perfection, always seeking ways to improve quality and efficiency.
