For an international client specialised in the
energy sector we are looking for a motivated
commercial and administrative assistant (m/f/x) ! Your role will be to assist the commercial department and to provide adequate support in order to allow the business to flow smoothly.
Responsibilities
- Support the commercial manager with the administrative tasks of the sales (SAP follow up, invoices, etc.) ;
- Liaise with the clients and follow up their orders, queries and specific needs ;
- Daily contacts with the other departments (logistic, finance, IT, distribution, etc.) ;
- Follow-up of shipments, off-takes and stocks ;
- Support Office matters ;
- Actualise client files ;
- Report monthly inventories to the headquarters in Spain.
LogisticsLiaising with the distribution and logistics departments for booking of vessels as per clients’ requirements.
Follow-up of shipments, off-takes and stocks.
Reconciliation and reporting of monthly inventories to the principals in Spain.
Booking truck off-takes for terminals.
Documentary credits Checking incoming Letters of Credit (L/C).
Verifying and revising the L/C documents raised by the documentation department. Submits and negotiates L/C documents with the banks.
Liaising with the clients, documentary department and banks and follow-up of all documentary credits.
Office matters.Support the office matters (telephone , )
Support local office contracts, order local small supplies.
