Mission of the Role:To facilitate seamless international and domestic meeting organization and administrative support.
You will:
- Provide comprehensive support for organizing international meetings (virtual, physical meetings, and abroad)
- Draft agendas, invitations, registration forms, and distribute finalized versions with supporting documents to members
- Organize web meetings (using MS Teams) for virtual meetings and assist the manager before, during, and after to ensure smooth execution and follow-up
- Coordinate travel arrangements, social events, and logistics for physical meetings, providing on-site assistance as needed
- Assist in financial follow-up by preparing and distributing invoices to members
- Maintain internal and external databases to ensure effective member communication.
- Archive documents and meeting minutes according to internal procedures.
- Support the manager in maintaining and updating websites
Profiel
Required Profile:
- A bachelor’s degree in Office Management or a related field
- Previous work experience as a management assistant or in a similar role; experience within a member association is advantageous
- Excellent proficiency in English and either French or Dutch, both written and spoken. Knowledge of other languages is a plus
- Good written and oral communication skills
- Good IT skills, with proficiency in web management and social media platforms.
- Full proficiency in Microsoft Office tools (Excel, Word, PowerPoint)
- Excellent time management and organizational skills.
- Strong interpersonal skills and proactive attitude.
