Your tasks and responsibilities The biennial EARLI conference takes place at the end of August in odd-numbered years. Of course, the preparations start long before that. The Junior Researchers of EARLI (JURE) organize an annual conference, usually in mid June – mid July. As a conference manager, you will oversee all aspects of organising the EARLI and JURE conferences and coordinate all logistic, contractual and financial aspects, as well as the conference programme and management on-site. These tasks will be performed in close cooperation with both local and international teams. This includes: · Acting as the point of contact for the local and international teams involved with the conference. This includes regular online meetings, as well as on-site visits. · Keeping an eye on the various timelines and deadlines involving abstract submission, review and registrations, as well as practical and logistical preparations (booking rooms, catering, social events, …). · Providing a comprehensive conference programme and scheduling (assigning speakers to rooms) using our planning tool. · Proposing a detailed conference budget and meticulous follow-up and reporting, in collaboration with the financial administration and accounting. · Proposing and following up on sponsorship and funding activities. · Providing a comprehensive conference programme and scheduling (assigning speakers to rooms) using our planning tool. · Management of all communications related to the conference. (This includes the EARLI website, the conference app, the EARLI conference platform, etc.)
Profiel
· In possession of a master’s degree (or equivalent through experience). · Prior experience in organising (large) events (scientific events is a plus) is a must. · Excellent communication skills in English, both spoken and written. · Being able to work autonomously, while at the same time being a team player in a small team. · An excellent planner, being able to oversee multiple tasks at the same time, while keeping an eye on deadlines. · Eager to learn, pro-active and problem-solver. · Strong sense of responsibility, service oriented. · Ability to master new software quickly and easily. · Knowledge of website management, CRM and Mailchimp is a plus. · A background in scientific research is a plus. · Willingness to travel abroad 2 times a year for conferences and/or conference organisation.
