Job Description: The primary goal of the Administrative Assistant is to provide essential administrative support to the General Manager, ensuring seamless daily operations and effective coordination across departments. Responsibilities include managing administrative tasks, scheduling meetings, assisting with HR functions, overseeing office supplies, facilitating order processing, and maintaining vendor relationships to support organizational efficiency. Duties and Responsibilities:
- Assist the General Manager with daily administrative tasks and coordination.
- Coordinate and schedule meetings, appointments, and travel arrangements.
- Assist in HR tasks such as maintaining employee records and supporting recruitment process.
- Prepare and submit office expense reports.
- Prepare orders with precision, coordinate between sales and warehouse teams for seamless order fulfillment.
- Track order status and resolve any issues that may arise during the order fulfillment process.
- Oversee Purchase Invoices (PI) for accuracy and completeness; verify details with relevant departments and stakeholders.
- Confirm and verify sales invoices (INV) for accuracy; ensure timely processing and documentation.
- Support accounting department on a daily basis to meet end-of-month procedures.
- Manage relationships with service providers; negotiate contracts, ensure high-quality service delivery, and resolve issues promptly.
Qualifications:
- Education: Bachelor's degree in business administration, or a related field (preferred).
- Experience: Minimum of 2 to 3 years of experience in administrative role.
- Technical Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Languages: English and Dutch.
