Management Assistant of the CFO (temporary vacancy)
Your Role
We are looking for a highly organized and proactive Management Assistant to provide personal administrative and organizational support to our CFO and other managers within the finance department. In this role, you will play a key part in ensuring the smooth running and execution of business processes and day-to-day operations.
Your Key Responsibilities as Management Assistant of the CFO
General Administrative and Organizational Support:
- Proactive support in terms of agenda and email management, answering phone calls, and acting as a point of contact for all kinds of questions from internal and external stakeholders.
- Scheduling meetings and business appointments, following up on the practical arrangements.
- Booking travel arrangements (flights, hotels, etc.) and organizing business trips.
- Handling personal administrative tasks such as expense reports and correspondence.
Meeting Preparation and Follow-up:
- Agenda management and ensuring all necessary documentation is available in preparation for meetings.
- Preparing and coordinating reporting and (PowerPoint) presentations, keeping track of action points.
- Finalizing and updating reports and documents on the intranet/SharePoint so that relevant company information is reliably available.
Data and Document Management:
- Maintaining and updating legal, financial, and operational records.
- Tracking absences and business trips.
- Managing document archives for the finance department.
- General Departmental Administration:
- Timely processing of purchase orders (POs) and invoices, and budget follow-ups.
- Coordinating onboarding meetings for new employees.
- Handling administrative tasks related to corporate processes.
Execution of Delegated Tasks by the CFO:
- Managing the company’s fleet administration.
- Organizing corporate events and meetings (e.g., Management Conference, shareholder meetings).
Are You the One We’re Looking For?
- You have a minimum of 5 years of relevant and stable working experience as a managament assistant or in a similar role and environment.
- You have a high level of discretion and confidentiality. Professional support of senior managers is your passion.
- You are proactive and a very strong organizer, a multitasker, and well-structured.
- You are autonomous, a self-starter, with a proactive mindset and take initiative where needed.
- Furthermore, you are punctual and precise and have strong administrative skills.
- You have a flexible mindset.
- You are familiar with classic PC tools (Word, Excel, Outlook, PowerPoint) and you have an affinity for new software systems.
- You master (written and spoken) the English language exquisitely. Any other European language is an asset.
