PROJECT DELIVERY OFFICER

MAIN DUTIES
Administrative support for 3rd party funded project proposals and bids (collecting CV, company information, statutes, and other material needed and available in the association)?
Provide organisational & logistic support to managers from the unit
Liaison with Project Events manager and EU project Administrative and Financial Officer
Support of timesheet process for funded projects
Liaison with other Unit officers regarding the logistics of funded project activities
Plan and organise logistics for Project Delivery & Data unit activities (internal and external meetings projects meetings, conference calls, workshops, events, etc…)
Support the communication with project partners
Follow-up and update the database, related Unit pages & sections of online platforms (Efficy, MyLibrary, MyNetwork…)
RESPONSIBILITIES & TASKS
Support the Project Managers for the execution of administrative tasks
Support actively the Units Managers in the coordination of activities and the use of appropriate tools to ensure high quality outcomes
Main contact for logistics aspects related to the unit
Keep track of the update of all unit related documents, including the unit agenda and make sure that they are internally well promoted and distributed
Perform any other reasonable duties as directed by line management

PROFILE
Excellent organizational skills and multi-tasking abilities
Hands on experience with MS Office, Internet and Excel
Excellent knowledge of English and French (oral and written). Solid knowledge of a third language is an asset
Understanding of office management and daily operations
Experience of delivering work of high quality within strict deadlines
Ability to build effective working relationships with internal and external stakeholders to work collaboratively to achieve objectives
Problem-solving attitude and sense of initiative
Strong ability to work flexibly and autonomously to meet/manage changing priorities for the unit and/or the Department
Ability to travel and to work under pressure (mainly for on-site events)
