THE MISSION
Provide assistance to the Chief Legal, Ethics and Compliance Officer.
.Manage her agenda, support her in day-to day activities and travel arrangements
•Provide assistance to the team; be responsible for managing, scheduling and organising internal meetings, business travels, teambuilding…
•Handle the corporate housekeeping for some legal entities
(organization of AGMs, organization of board meetings, Power of Representation, publications to the Moniteur belge, updating of commercial register data, contact with notary…)
•Update different data base of Engie (Dilitrust, Legal Tracker…)
•Supporting the team for the development and implementation of Tractebel’s legal and ethics & compliance policies, processes, standard contracts and trainings
•Putting in place tools and methods (including digital) to share best practices and know how within the legal and ethics & compliance teams of The company and contribute to the optimal functioning of the legal and ethics & compliance network
•Management of corporate documents for offers/opening of bank accounts/share
transfers/... for the Company
•Follow up legal budget and invoicing of all legal matters (preparation of PO, PREQ, LVP...) in different digital tool (Legal Tracker)
•Help prepare responses and gather internal documents for ongoing investigations, audit, certifications
•Handle all secretarial tasks in an independent way (Word processing, handling
of documents such as meeting reports, e-mail...)
•Be responsible for filing and distribution of all internal documents or policies of the Group (ENGIE) to internal Customers (legal network, Ethics Network) following the Quality procedures
•Be responsible for the archiving (My Portal + paper) of legal documents, updating Legal, Ethics and Data Privacy pages;
•Be able to create PO, LVP, PREQ, and follow the invoices internal procedure•Be the contact between the international team in the corporate team, handle the request from the international team
Profil
THE PROFILE
•Bachelor's degree in Management Assistant or bachelor's degree in law•At least 3 years’ relevant experience
•Very good working knowledge of MS Office softwares (Word, Excel, Powerpoint, Outlook, etc.) and be at ease with digital tools (including archiving tools)
•Able to follow the invoices internal procedure
•Take initiatives with a view to anticipating potential problems•Able to build relationships with the professional contacts (employees, customers, suppliers) based on communication and listening skills, availability, trust and sharing
•Be discrete•Fluent in English and French•Open to acquire new skills
•Well organized
