Trilingual Receptionist & Office Manager

Job description

As the Trilingual Receptionist & Office Manager (m/f/x), you will play a central role in ensuring the smooth operations of the Brussels office. Your tasks include:

  • Meeting Coordination & Travel Support: Organizing meetings, updating schedules, arranging meeting rooms, and facilitating travel arrangements for Belgian and international visitors.
  • Visitor Interaction: Welcoming a diverse range of visitors, including investors, board members, advisors, and entrepreneurs, while ensuring a positive and professional experience.
  • Switchboard Management: Handling incoming calls via the Brussels office switchboard.
  • Liaison: Serving as a point of contact and collaborating with staff at all levels across different regions.
  • Office Management: Overseeing general office administration, including supply orders and related tasks.
  • Event Coordination: Organizing lunches and events for the Brussels office.

Profile

The ideal candidate will possess the following qualifications, skills, and attributes:

  • A bachelor's degree in hospitality or relevant experience in hotels, HoReCa, or tourism sectors.
  • Language Proficiency: Fluent in English (primary working language), French, and Dutch.
  • Advanced MS Office Suite skills (e.g., Word, Excel, Outlook, PowerPoint).
  • A polished and professional demeanor with the ability to interact seamlessly with C-level executives.
  • Exceptional organizational, communication, and planning skills.
  • A service-minded, flexible, and adaptable mindset, with the ability to handle multiple responsibilities efficiently.
