Management Assistant
Job description
Be a Vital Asset to the Brussels Team:
- Provide seamless support to 3 Partners and their team
- Take ownership of responsibilities, efficiently managing time to meet deadlines
- Open and close client matters in collaboration with The London Compliance Team
- Utilize your written and spoken language skills to engage with international stakeholders, to create impactful PowerPoints as well as to draft, proofread and format diverse documents
- The external newsletter is also one of your responsibilities as you ensure that all content is received on time and that the layout is perfect
- You are in charge of the laying out of marketing materials such as flyers, brochures and presentations
- Manage your Partners’ agendas, including conference calls, internal and external meetings and business lunches/dinners
- Organise internal and external events and seminars including venue research, sending of invitations and their follow-up as well as coordinating the catering
- Liaise with the travel agency for European and worldwide travel arrangements and follow-up the expense claims
- Ensure timely billing by submitting time sheets and verifying billing details
- Support the client portfolio expansion and pitching process
Profile
- Minimum 3 years of experience
- Excellent English (written and spoken) with intermediate Dutch and French (written and spoken)
- Proficient in MS Office with a keen eye for detail
- Solution-oriented mindset, proactive, and self-driven
- Effective prioritization skills to handle multitasking calmly
- You are always both service-minded and diplomatic towards clients and colleagues alike
- You are politely assertive when information is necessary to meet a deadline
- Highly motivated team player with a genuine desire to contribute
