For one of our clients in Brussels we are seeking a professional and customer-oriented receptionist to join our team. In this role, you will be the first point of contact for staff, visitors, and contractors, ensuring smooth front desk operations and supporting with various administrative tasks. Reception:
- General reception duties including welcoming visitors and contractors and granting access as required
- Ensure visitors are aware of site health & safety related matters including fire evacuation procedures
- Coordinate/set up Zoom messaging call flow
- Liaise with building reception for deliveries
- Liaise with cleaning and security team (forwarding instructions/messages or incidents to appropriate members of the team)
- Act as Emergency Coordinator as part of the Brussels office emergency plan
General support - Assist with new starter onboarding process, prepare ID photos, request access cards, order business cards etc. and provide general assistance as required
- Respond to staff queries
- Coordinate and assist team with onsite visits/events (incl. Food & Beverage orders, liaison with external agencies, set-up of meeting spaces and AV equipment)
- Manage incoming/outgoing post/courier
- Translate, forward, file and follow up of incoming hardcopy mails to relevant departments
- Assist team with ad hoc tasks (e.g. calendar management, PO, invoice verification, filing, scanning and archiving)
- Use in-house systems such as ServiceNow (Helpdesk), V-Learn (Training), FEDEX (Courier), COUPA, Concur (Expenses), iProcurement (Requisitions & Invoicing) and Travel
- Manage car fleet and office supplies
Health, environment, safety and security - Monitor general access via reception, issue visitors and contractors with appropriate passes. Ensure visitors/contractors are collected by host and badges/access cards are returned when leaving the premises
- Assist with security audits of ID passes, with fire alarm safety checks and records and with first aid training and requirements
This is a part-time position, working 32 hours per week. The schedule is as follows: Monday, Tuesday and Thursday from 8:30 AM to 5:00 PM (with a 30-minute break), and Wednesday and Friday from 8:30 AM to 12:30 PM.
We are looking for a new colleague with the following competencies:
- Oral and written proficiency in English, Dutch and French - a very good knowledge of English is a key requirement
- Excellent customer service capabilities
- Good organization skills with strong ability to multi-task
- Ability to exercise sound independent judgment and respond to changing business requirements
- Excellent computer skills (particularly Microsoft office)
- Team player
- Excellent social skills
- Minimum 3 years’ experience in a similar role
- Experience in customer service
- Demonstrated ability to manage administrative duties
- CPR/First Aid/AED certified preferred
- Bachelor’s Degree
