Executive Management & Coordination
- Support executive leadership of the organisation and coordination of virtual and in person meetings, including attendance and reporting
- Organisation of the client’s annual meeting and other smaller events
- General administrative tasks including oversight membership (in close collaboration with the Customer Care Unit) and election processes, database maintenance
- Collaborate closely with the Customer Care Unit on all delegate/member communication including but not limited to membership renewal, event announcements, etc.
- Collaborate with the Manager on budgeting and financial reporting
- Support to and collaborate with the Finance Team Membership Operations
- Support in development and maintenance of the membership database, membership renewals and new membership campaigns in close collaboration with the Customer Care Unit and Marketing Professionals
- Assistance to members for potential questions and information
- Advising and reporting to association executive(s) when timely Communication & Marketing In collaboration with our Marketing Professionals:
- Update content on the association’s website and various social media channels
- Coordination and maintenance of the members only area
- Coordination of marketing suppliers (design/collateral production – if applicable)
- Communicate and collaborate with the Marketing Professionals for the promotion of the client’s events and activities Project Management
- Coordinate the various initiatives undertaken by the association
- Support the Manager in the development of (financial) reporting to the board members
- Collaborate closely with the PCO Project Manager and CSU responsible in regard to the registration, participation, membership linked to the event activities
- Travel onsite to assist in the delivery of the event activities of the client in close collaboration with the PCO team (if timely)
- Support in the financial reconciliation of attendance and revenues
- Subscribe the coordination of publications in specialised journals
Profil
Required experience, skills and abilities
- Eligible to work in EU
- Minimum Level: University Graduate
- Previous working experience of a minimum of two years for an international organisation; experience working for a scientific association is a plus
- Excellent verbal and written communication skills (English- level C1); additional European languages are considered a plus
- Assertive, proactive, and client-centric, ability to liaise easily with various stakeholders (i.e.: client facing)
- Quick learner and easily adapt to a fast-paced environment, agile and committed especially in busy periods
- Time management skills are part of your DNA, you prioritise easily, organised and quality focused you work independently
- Multicultural sensitivity and are problem-solving minded
- Proficient in the Microsoft Office package (Word, Excel, PPT, TEAMS)
- Willing to travel all around the world (in respect of sanitary restrictions)
- You are available to join the team rapidly
