Job description

Your Role as a Management Assistant:
In this versatile and proactive role, you will be a key player in the organization, ensuring smooth operations and an efficient work environment. Your main responsibilities include:

* Supporting the Team: You will directly support at least three professionals, managing their schedules, coordinating meetings, and keeping track of their requests.

* Meeting and Agenda Management: You will manage meeting calendars, anticipate potential conflicts, and ensure everyone is well-prepared for upcoming meetings.

* Client and Visitor Coordination: Act as the first point of contact for clients and visitors, greeting them warmly, assisting with inquiries, and guiding them to meeting rooms.

* Presentation and Document Preparation: You'll create professional brochures, presentations, and reports before meetings, ensuring that all materials are top-notch.

* Event and Travel Planning: Collaborate with colleagues to plan company events, team-building activities, and coordinate business travel arrangements (flights, hotels, transfers).

* File and Data Management: Organize digital and physical files, ensure all documentation is up to date, and maintain a structured filing system.

* Project Assistance: Offer administrative support to other departments on various projects, ensuring deadlines are met.

* Process Improvement: Be proactive in identifying ways to improve internal processes for greater efficiency.

Profile

Who You Are:

  • Educational Background: You hold a Bachelor's degree in Business Administration, Office Management, or a related field.
  • Language Skills: You are fluent in English. Knowledge of French or Dutch is a requirement.

  • Technical Expertise: You are proficient in MS Office (Word, Excel, PowerPoint) and comfortable with other office tools.
