Personal Assistant

Job description

Be a Vital Asset to the Brussels Team:



  • Provide seamless support to the Managing Partner and 2 Lawyers

  • Take ownership of responsibilities, efficiently managing changing and competing priorities

  • Manage your Partners’ inboxes

  • Open and close client matters, including background checks and ensuring all information is accurate

  • Utilize your written and spoken English to engage with international stakeholders, to create impactful PowerPoints and e-bulletins as well as to draft, proofread and format diverse documents

  • You have carte blanche for your Partners’ agendas and hence are responsible for coordinating all conference calls, internal and external meetings, events and business lunches/dinners and the surrounding logistics

  • Liaise with the travel agency for European and worldwide travel arrangements and follow-up the expense claims

  • Ensure timely billing by submitting time sheets on time and verifying that the billing narrative is correct

  • Ensure an overall smooth running by printing, photocopying, scanning, filing and archiving as well as maintaining the CRM with pertinent details


Profile


  • Minimum 5 years of experience as a Management Assistant

  • Excellent English (written and spoken), 1st class proof-reading skills are vital

  • Proficient in MS Office

  • Due to your keen eye for detail, you always deliver high quality work

  • Solution-oriented mindset, proactive, and self-driven

  • Effective time management enables you to forward plan and handle stressful situations calmly

  • You are always both service-minded and diplomatic towards clients and colleagues alike and hence build excellent working relationships

  • Discretion is key

  • Highly motivated team player with a genuine desire to contribute
