We are seeking a professional and welcoming Receptionist to join our Brussels law firm. The ideal candidate will exhibit exceptional client service skills, outstanding organizational abilities, and a polished demeanor. As the first point of contact, the Receptionist will be responsible for representing the firm's professionalism while managing daily administrative tasks.
Responsibilities and Accountabilities:Front Desk Management:- Greet and welcome guests promptly upon arrival.
- Answer, screen, and forward incoming phone calls professionally.
- Ensure the reception area remains tidy and stocked with necessary supplies (e.g., stationery, forms).
Mail and Deliveries:- Receive, sort, and distribute mail and packages.
- Assist with courier and mailing services, both local and international.
Office Organization:- Replenish drinks and china in conference rooms as needed.
- Monitor and restock the coffee corner and cafeteria fridges.
- Refill paper in copy machines and coordinate orders for office supplies with the office assistant.
Meeting and Event Coordination:- Assist with planning office events, meetings, and conferences.
- Ensure refreshments and equipment are set up and promptly clear rooms post-meetings.
- Order catering within specified budgets and instructions.
Administrative Support:- Order taxis for visitors and attorneys.
- Maintain accurate records of office expenses.
- Handle clerical tasks like filing, photocopying, printing, and binding.
- Schedule appointments and manage shared administrative calendars.
Miscellaneous Duties:- Handle errands (e.g., post office, bank visits) and manage postage stamp orders.
- Ensure compliance with safety procedures at the reception desk.
- Perform other duties as assigned to support the office.
