The successful candidate:
- Coordinates office procedures, ensuring efficient workflow and adherence to policies.
- Works collaboratively in a secretarial team, providing cover during absences and volunteering for additional tasks.
- Maintains utmost confidentiality of client and firm information.
- Manages attorney diaries, schedules meetings, and handles travel arrangements. Handles client communications, organizes emails, and files documents appropriately.
- Creates accurate and clear correspondence, reports, and presentations using firm templates.
- Utilizes computer systems effectively for filing and records.
- Enters attorney timesheets regularly, ensuring compliance with monthly deadlines.
- Manages billing processes, liaising with billing coordinators.
- Coordinates reimbursement requests and payment of invoices.
- Maintains updated secretarial handover notes for designated attorneys.
- Performs ad hoc secretarial and administrative duties as required.
