Position Overview:

The Administrative Assistant provides essential support to the Sales, Marketing, and Meetings & Congresses teams while managing the Administrative Support Center (ASC). The role requires strong organizational skills, the ability to work independently, and a collaborative team spirit.

Job description

1. Sales & Marketing Support:




  • Be the go-to person for administrative and organizational support.
  • Manage team agendas, assist Sales and Brand Managers, and support onboarding/offboarding processes.
  • Organize internal and external meetings, including logistics, invitations, and vendor coordination.
  • Handle financial admin tasks such as creating purchase orders and managing vendor payments.


2. Meetings & Congresses Support:




  • Ensure meetings/events comply with local regulations and manage approval processes.
  • Handle event-related financial administration and maintain audit readiness.


3. Administrative Support Center (ASC):




  • Coordinate mailings, manage internal stock, and distribute promotional materials.
  • Oversee confidential document archiving and maintain office supplies.
  • Prepare meeting rooms and assist with company communication updates.

Profile


  • Organized & Detail-Oriented: Able to manage multiple tasks and meet deadlines efficiently.
  • Autonomous & Proactive: Works independently while contributing to team success.
  • Strong Communicator: Communicates clearly with internal and external stakeholders.
  • Tech-Savvy: Comfortable using MS Office and learning new tools.
  • Multilingual: Fluent in Dutch or French (both is a plus) with good English proficiency.
